Planning a wedding is often a long process, which at times can be quite overwhelming. This is especially true if you are going to be having a lot of out of town guests coming in for the wedding. It's great that people are prepared to travel to see you tie the knot. However, if you aren't organized, it can open up a whole new set of problems.
You should decide how many out of town guests will be invited as early on as possible. For some people, there are only a few out of town guests that will be coming. If this is the case, your job just got much easier. Larger weddings, however, may have hundreds of guests coming in from out of town. As a general rule of thumb, if your partner was not raised in the same area as you there will probably be a few out of town guests from one side of the family or the other.
After you know how many guests you are expecting from out of town, you will need to think about accommodations. You may want to set up reservations for all of them at a local hotel. Keep in mind that some people will want to do this on their own; but you should always offer so that they will not have to undertake this process on their own. If you are going to have to book a lot of hotel rooms, you may be able to get bulk discount rate. In fact, with enough rooms being booked it can save you several hundred dollars. A lot of people set up out of town guests in different hotels, but if you want to save some dollars, try to book them all in the same hotel if possible.
Make sure that when you book hotels for your out of town guests that you do so far in advance. Remember, your wedding will probably not be the only thing going on in town that day. If you wait too long you will end up having to spread people out to different hotels in the area. And if that was not bad enough, you may not be able to find rooms at all. Booking well in advance can help you avoid this problem.
After you have everybody taken care of as far as accommodations are concerned, you may then want to give them some more information on the area. The first thing that you should do is make sure that they have directions to the hotel that they will be staying in. And if they are flying into the area, make sure that they know how to make it from the airport to the hotel. Remember, your guests probably won't be as familiar with the area as you are.
From there, the next set of directions that they need are the ones that will take them from the hotel to the ceremony or reception. These are just as important because nobody wants to be late for either event. If all of your out of town guests are staying in the same general area, or the same hotel, you can print out a bunch of the same directions to save yourself time and money.
Your out of town guests may be in the area for a couple of days so make sure that you supply them with enough activities. This does not mean that you have to entertain each and every one of them personally, but why not give them a guidebook of the area so that they can find activities to do during their down time?
Giving out your best man and honor attendant's contact information with the directions is also a great way to make things easier on out of towners. You may not think that they will need to call you for anything, but the fact of the matter is that a few people will probably end up getting lost. As long as someone is available to give them the directions they need, there should never be any problems.
When facilitating out of town guests keep their budget in mind as well. Not everybody will be able to afford the top hotel in the area, so when you book the rooms make sure that it is nothing too expensive. If your guests would rather book their own room at a fancier or a cheaper hotel it should never be a problem; it will probably mean less stress on you.
As long as you stay organized, facilitating out of town guests for a wedding does not have to be a difficult task.
